Description

Position Overview Sacred Heart Academy is seeking a highly organized and detail-oriented Advancement Coordinator to manage our Raiser’s Edge/NXT database and support the daily operations of our Advancement Office. This role ensures the accuracy and effectiveness of our fundraising, alumnae engagement, and communication efforts. The ideal candidate is a mission-driven team player who enjoys both independent tasks and collaborative work.

Key Responsibilities

Database Management (Raiser’s Edge/NXT)

· Maintain database accuracy, structure, and security

· Enter and process all gifts, pledges, and contributions

· Create and manage Funds, Appeals, Campaigns, and Packages with appropriate coding

· Reconcile gifts with the Business Office and generate timely donor acknowledgments within 48 hours of receipt

· Oversee recurring giving and manage donor pledge reminders

Reporting & Data Support

· Develop and maintain reports, queries, and exports for appeals, events, and publications

· Track fundraising progress and donor activity

· Prepare segmented lists for mailings and communications

Advancement & Event Support

· Assist with event planning and logistics, including registration, nametags, and materials

· Provide on-site event support (e.g., check-in and donor interaction)

· Support campaigns and special initiatives across the department

Donor Stewardship & Research

· Maintain donor history and engagement records

· Coordinate memorial acknowledgments and alumnae communications

· Conduct basic prospect research to support cultivation efforts

Team Collaboration & Office Operations

· Provide database support and training to Advancement staff

· Help optimize workflows and internal communication processes

· Contribute to general administrative support as needed

 

Requirements

Qualifications

· Required: Experience with Raiser’s Edge/NXT (applications without this will not be considered)

· Exceptional attention to detail and strong organizational skills

· Proficiency in Microsoft Office (especially Excel); experience with email or event platforms a plus

· Strong written and verbal communication skills

· 2+ years in fundraising, advancement, or nonprofit settings (education preferred)

· Associate’s or Bachelor’s degree preferred

· Professional, collaborative, and committed to mission-driven work

This is a full-time position including medical/dental/403B and salary commensurate with experience.
